Writing content

A thing's content is where you write: notes, lists, checklists, tables, code, pictures, files, videos and maps. You write in a visual editor, and Everythings stores it as Markdown, so it reads the same in the app, in the phone app, in an export and to an AI agent.

Content is Markdown

Content is GitHub-Flavored Markdown, the plain-text format used across the web. You can use the editor's buttons and never see it, or type the syntax directly.

Pasting

  • Paste from a web page or a document and the formatting the editor knows (headings, lists, links, tables and the like) comes along. Anything else is dropped.
  • Paste Markdown text and it turns into formatted content.
  • Copy from the editor and you get Markdown.
  • HTML tags typed into content show as plain text.

The editor

Click ✏️ on a thing, or click its content, to edit. The toolbar fills the top of the card and a short rail sits beside the text.

Toolbar

Bold, Italic, Underline, Heading (Heading 1 to 3, or Normal text), Align left, Align center, Align right, Image, Link, Bulleted list, Numbered list, Code block, Collapsible section and Table. On narrower windows some buttons hide; the slash menu still offers those blocks.

Markdown has no underline, so underlining shows while you edit and is gone once the thing saves.

Rail

  • 🎙 Dictate: speak your text (below).
  • Checklist: turn the current line into a checklist item, or back.
  • Attach a file: add a file (see Links, images and files).

The slash menu

Type / to open a menu of blocks. Keep typing to filter it, use ↑ ↓ to choose and Enter to insert.

ItemInserts
Heading 1, Heading 2, Heading 3A heading at that level.
Bullet List, Numbered ListA list.
Task ListA checklist.
Code BlockA block for code.
QuoteA quote.
Collapsible sectionA section that opens and closes.
DividerA horizontal line.
TableA 3 by 3 table with a header row.
ImageAn image from a web address you paste.
YouTubeA video player from a YouTube link you paste.

Dictation

Click the mic on the rail, or press Ctrl Alt D (⌃ ⌥ D on a Mac), and talk. Your words appear in gray at the cursor and drop into the text when you pause. Press again, or the Stop dictation pill, to stop. Saving waits until the last words arrive (Finishing dictation…).

With an OpenAI key saved under Settings › AI Provider (the AI key or the separate OpenAI key for dictation), dictation uses OpenAI's transcription; otherwise it uses your browser's speech recognition. The comment box, the answer box for an agent's question and checklist rows have a mic too.

Checklists

Start a checklist with the rail's Checklist button, the slash menu's Task List, or by typing - [ ]. Checklists can nest.

  • Tick without editing: click a box on the page. The change saves at once, whether or not auto-save is on.
  • Add an item: click the + at the end of a checklist (Add item), type, and press Enter. The row stays open for the next item; Esc closes it.
  • Change an item: double-click its text to edit it in place, then Save, Cancel or Delete item.

Tables and code

Tables and code blocks come from the slash menu, the toolbar, or the Markdown in the cheat sheet.

Tables

The slash menu's Table inserts a 3 by 3 table with a header row. The toolbar's Table button opens Manage Table: Insert Table, and for the table the cursor is in, Add Column Before, Add Column After, Delete Column, Add Row Before, Add Row After, Delete Row, Delete Table, Split Cell and the header toggles. A wide table scrolls sideways on the page.

Code

Put the language after the opening fence (```python) and the editor colors the code. On the page, every code block has a copy button that copies its text.

Content can point anywhere and carry pictures and files.

Links

Select text and click Link, then paste the address. Clearing the address removes the link. Typed or pasted web addresses become links on their own. On the page, links open in a new tab.

Images

  • Click Image in the toolbar. In Insert Image, the Upload tab takes a JPG, PNG, SVG or WebP file up to 3 MB; the URL tab takes a web address.
  • Or paste an image, or drag image files into the editor, and they upload in place.
  • The slash menu's Image asks for a web address.

Uploaded images count toward your storage. On the page an image shows at its own size, up to the width of the card.

Attachments

  1. Open the thing and choose Add Attachment in its ⋮ menu (or the paperclip on the editor's rail).
  2. Give it a Name, pick an emoji if you like, and choose a File (any type, up to 25 MB) or a URL. Add Tags if you want.
  3. Click Done. The attachment appears as a new sub-thing.

While creating a new thing, Attach a file on the rail uploads the file straight into it and makes the thing an attachment. An attachment shows a file card with the file's type, its name, Open and Save, and its tile carries 📎.

Videos and maps

Paste a YouTube or Google Maps link and Everythings shows the video or the map in place, on the web and in the phone app.

YouTube

Links of the form youtube.com/watch?v=…, youtu.be/… or youtube.com/embed/… play in an embedded player. The slash menu's YouTube asks for the link.

Google Maps

Links to google.com/maps or maps.google.com that name a place, a search or coordinates show as an embedded map. Short share links (maps.app.goo.gl) stay ordinary links, so copy the full address from the browser instead.

A new thing whose whole content is one YouTube link becomes a video thing, and one Google Maps link a map thing. The player or map leads the page and the tile carries ▶️ or 📍.

Alignment and collapsible sections

Two additions to standard Markdown let you center text and fold long parts away.

Center or right-align

Use Align center or Align right on a paragraph or heading. In Markdown, wrap blocks in a fence: a line :::center (or :::right), the blocks, then a line :::. Left is the default and needs no fence.

Collapsible sections

Insert one with Collapsible section from the slash menu or the toolbar. In the editor it stays open, with a Section title box and a Starts open checkbox. On the page, click its title to open or close it.

In Markdown: a line :::details Title, the section's content, then a line :::. It starts closed; :::details+ Title starts open. A section inside another takes one more colon on the outer fence (::::details). Without a title it reads Details.

Saving and export

Your edits save themselves unless you turn auto-save off, and any thing can leave as Markdown.

Auto-save

Auto-save is on to begin with. Edits to an existing thing save a moment after you stop typing. The button at the top right of the card shows Auto-save on, Saving…, Saved or Save failed; click it (Done editing) to save anything left and stop editing. Closing the thing waits for a save in progress.

Turn it off under Settings › Editor › Auto-save.

Saving by hand

With auto-save off, and always for a brand-new thing, click 💾 under the fields or press Ctrl/⌘ Enter. A long thing also gets a 💾 in the header. If you leave with unsaved changes, Unsaved Changes asks whether to Save or Discard.

Export

In the ⋮ menu, Copy as Markdown copies the thing to your clipboard and Download .md saves it as a file. The export holds the thing and every sub-thing beneath it, each as a heading with its emoji and name, then its content, its marks and its comments.

Questions

Why did some formatting disappear when I pasted?

Content is stored as Markdown. Headings, lists, checklists, tables, code, quotes, links and images carry over; formatting Markdown has no way to write, such as colors, fonts or underline, is dropped.

Can I write HTML?

HTML tags in content show exactly as you typed them, as plain text. For formatting, use the Markdown in the cheat sheet or the editor's buttons.

Can I turn off auto-save?

Yes, under Settings › Editor › Auto-save. With it off, the 💾 button and Ctrl/⌘ Enter save your edits, and leaving with unsaved changes asks whether to save.

How do I export a thing?

In the thing's ⋮ menu, Copy as Markdown puts it on your clipboard and Download .md saves it as a file. Both include its sub-things, marks and comments.

Can I resize an image?

Images show at their own size, up to the width of the page. To make one smaller, upload a smaller copy.

Who can see my uploaded images and files?

Uploads are stored at public web addresses that are hard to guess, and the content links to them. Anyone in the workspace sees them in the thing, and anyone you give the address to can open it.

Does dictation need an API key?

No. Without a key, the editor's mic uses your browser's speech recognition. With an OpenAI key saved under Settings › AI Provider, it uses OpenAI's transcription instead.
