The phone app
The Everythings app runs on iPhone, iPad and Android phones and tablets. It shows the same workspaces, things, marks and comments as the web, on the same account, and what you change on one shows on the other.
Get it from the App Store or Google Play.
Install and sign in
- Install Everythings from the App Store or Google Play and open it.
- Sign in the way you sign in on the web: Continue with Apple (on iPhone and iPad), Continue with Google, or Sign in with email, which asks for your Email and Password.
- New to Everythings? Tap Sign Up, fill in Full Name, Email, Password and Confirm Password, then open the verification email.
- The app opens your workspace. With none yet, it makes a Personal workspace for you; with an invitation waiting, it offers Accept, Decline and Create Workspace instead.
Forgot your password? Reset it on the web from Reset Password, then sign in on the phone with the new one. See Signing in and out.
Getting around
Switch workspaces
Tap the switcher at the top left (a grid icon on a phone, the workspace's name on a tablet). A panel slides in from the left with every workspace you own or belong to: tap one to switch, or press and drag to reorder. The current workspace has a gear that opens its settings. Under the list sit Add Workspace and, while this workspace's Trash holds something, Trash.
You can also swipe sideways on the grid to move to the next workspace. Pull past the first or last one and hold until the ring fills to start a new workspace.
The grid
- Tap a tile to open the thing.
- Press and hold a tile to lift it, then drag. Drop it between tiles to reorder, or on the middle of a tile to put it inside that thing. While you drag, Clone and Trash circles slide up from the bottom: drop on one to copy the thing or move it to Trash.
- Carry a tile to the edge of the screen and hold to move to the next workspace, then drop it there to move the thing across.
- Press, hold and let go without moving to start selecting. Tap more tiles, then choose Clone or Trash for all of them, or Clear selection.
- The โญ Faves tile lists the things you starred in this workspace. Drag one onto the circle that slides up to take its star off.
- The ๐ฅ Inbox tile appears when an agent you connected has asked you something. See Questions, inbox & @Agent.
- A โฆ on a tile means an agent wrote or changed that thing.
Create a thing
Tap the round + at the bottom, or the + tile at the end of a long grid. You can also type in the search field and tap Create beside it: a short phrase becomes the new thing's name, and longer text becomes its content.
Search
The field at the bottom, Search all workspaces, searches every workspace you can open once you type 3 characters. Tap a tag on a thing to see every thing with that tag. See Find things.
Staying up to date
The app fetches what changed elsewhere each time you come back to it. To check for changes on the thing in front of you, choose Refresh in its โฎ menu.
Things, marks and comments
A thing's card
A thing opens as a card over the grid. Swipe sideways to step to the previous or next thing at the same level. Pull down from the top, or push up past the bottom, to close it, or tap Close (โ). Its sub-things show as a grid under the content: the + adds one, and a long press on the + offers Sub-thing, Checklist or Attachment.
Edit
The pencil (Edit) opens the form: emoji, name, cover image, content with a Markdown toolbar, and tags. With auto-save on, edits save as you type; with it off, leaving with unsaved edits asks Save changes? See Writing content.
Marks
Marks sit in the row at the top of the card. Tap one to add or remove yours. Faded marks are the workspace's default marks that nobody has left on this thing yet; tap one to leave it. The star adds the thing to your Faves. Add reaction offers the default marks plus any mark already on the thing. See Marks.
Comments
The ๐ฌ button shows how many comments a thing has and opens them. Write in Add a comment... and tap send. Reply under a comment answers it in a thread, and typing @ lets you mention a member or Agent. The trash icon deletes a comment of yours. Comments written by an agent or from Slack say โviaโ that source. See Comments & mentions.
The โฎ menu
| Item | What it does |
|---|---|
| Refresh | Fetches the latest version of the thing. |
| Clone | Copies the thing into a workspace you pick, or beside itself under the same parent. |
| Share | Sends the thing's text to another app through your phone's share sheet. |
| Share public link | Once you agree, makes a read-only link anyone can open and hands it to the share sheet. See Public links. |
| Trash | Moves the thing and its sub-things to Trash, where you can restore them. |
| Clear claim | Shown when an agent has claimed the thing: any member can clear an expired claim, and the owner or an admin a live one. |
Questions from agents
When an agent asks you something, the question sits on the thing with its options. Tap an option, add a note if you like, and tap Answer. With no option picked, write a reply and tap Reply. Dismiss closes the question unanswered. The ๐ฅ Inbox tile lists the workspace's open questions, each with an Open button to its thing.
Trash
Open Trash from the workspace switcher. Restore brings a thing back with its sub-things, marks and comments; Empty Trash deletes everything in it for good. See Things.
Notifications
Push notifications
The phone sends your notifications as push. Choose what reaches you for each workspace on the Notifications tab of its settings: new things, comments on your things, replies to your comments, mentions of you, marks on your things, edits and deletions, and the two kinds about your own agent. Every kind starts on except Edits and deletions, and each switch saves as you flip it. See Notifications.
When the app asks for permission
The app asks to send notifications the first time you have something that can send one: a workspace shared with someone, or an agent connected to your account. Turning a switch back on in a workspace's Notifications tab asks again. If notifications are off in your device's settings, that tab says they will show only on the web until you allow them.
Opening a notification
Tap a notification to open the thing it is about, or its workspace when the thing was deleted. One that arrives while the app is open shows as a bar at the bottom with View.
The bell
On the phone the ๐ bell appears when an invitation is waiting for you, with Accept and Decline. The full list of notifications is in the bell on the web.
Android: share and widgets
Two features use Android's own system: the share sheet and the home screen.
Share to Everythings
- In any Android app, tap Share and choose Everythings. Text, links and images all work.
- Save toโฆ opens with a preview: the emoji and name the thing will get, which you can change, plus the image and a piece of the text. For a link, the name fills in with the page's title once it arrives.
- Pick where it goes. Search with Search things to save intoโฆ across every workspace, or tap a workspace and walk down its things.
- Tap Save here at any level, the top of the workspace included. Or type in the New folder row to create a thing at that level and save straight into it.
Shared text becomes the thing's content. A shared image is uploaded and becomes the thing's cover, on every plan, and counts toward your upload storage. A workspace marked Read-only takes nothing new. After saving, the app confirms and hands you back to the app you shared from.
Home screen widgets
Add them from your launcher's widget list:
- Everythings Add opens a new thing in one tap; you pick the workspace in the form.
- Everythings Thing opens a chosen thing in one tap. Tap the new tile once to choose its thing. It shows the thing's emoji or image and keeps up when you rename it.
Voice and AI Mode
Talk instead of typing
Tap the mic in the search field and speak; tap it again to stop. The phone's own speech recognition turns your words into text, so the mic needs no API key. The first time, the phone asks for microphone access. The same mic appears in checklist rows and in the reply box of an agent's question.
AI Mode
- Add your OpenAI or Anthropic key under AI Provider on your Profile, or in Settings on the web.
- Tap the search field. Two tabs appear under it: Search and AI Mode.
- Choose AI Mode, type or say what you want in Ask AI to do something..., and send it.
The panel shows the reply as it is written, and under it each step the assistant takes on your things, ticked off as it finishes. Drag the bar at the top of the panel to make it taller or shorter; the workspace stays in view and usable behind it. AI Mode stays on while you move between workspaces and things. Clear starts a new conversation, and the โ (Close AI Mode) leaves it. It works on every plan, and your provider bills the requests to your key.
Keyboard shortcuts
With a hardware keyboard, such as a tablet's keyboard or one connected to an Android phone, the app answers these single keys. Most match the web; Backspace here trashes like Delete. They pause while you type in a field.
| Key | What it does |
|---|---|
| Arrow keys | Move between tiles. With no tile highlighted, Right highlights the first. On an open thing, Left and Right step to the previous or next thing at the same level. Down moves from the search field into the grid. |
Enter | Opens the highlighted tile. |
Space | While you are selecting tiles, adds or removes the highlighted one. |
Esc | Leaves a text field first. Then it closes the open thing, ends a selection, or clears the search. |
Delete or Backspace | On an open thing, asks before moving it to Trash. While selecting, trashes the selection. |
+ | Starts a new thing, or a new sub-thing when a thing is open. |
The web's full list is on Keyboard shortcuts.
Settings on the phone
The account menu
Tap your picture, or the account icon, at the top right of a workspace. The menu shows your name and email, then System, Light and Dark for the theme on this phone, Settings, and Sign out.
Profile
Settings opens your Profile. Pull down to refresh it.
- Your name, with a pencil to change your Display name, and your email.
- Plan: your current plan, Your usage, the Everythings Plus card and any Locked workspaces. On Free, Upgrade to Plus buys Plus through the App Store or Google Play at your store's price; Restore Purchases brings back an earlier purchase; on Plus, Manage subscription opens your store's subscriptions.
- Editor: the Auto-save switch.
- AI Provider: your OpenAI or Anthropic key, and the optional OpenAI key for dictation that the web uses.

- Sign Out and Delete account.
Details for each are on Settings and Plans & limits.
Workspace settings
The gear beside the current workspace in the switcher opens its settings, with the same tabs as the web: General and look, Agent Instructions, Default marks, Members and Notifications. On Members the owner can Invite member, resend or cancel invitations, remove people and hand the workspace over with Make owner; anyone else can Leave workspace. Changes on Members and Notifications save at once. See Workspaces.

Questions
Do I need a separate account for the phone?
No. Sign in the way you sign in on the web and you see the same workspaces, things, marks and comments. Your plan, display name, auto-save setting and AI key follow you too.
Why don't I see AI Mode on my phone?
AI Mode needs your own OpenAI or Anthropic key. Add it under AI Provider on your Profile, or in Settings on the web, and the AI Mode tab appears under the search field. The mic works without a key.
Why am I not getting push notifications?
Check, in order:
- Notifications for Everythings are allowed in your device's settings.
- The kind you expect is switched on in that workspace's Notifications tab. Edits and deletions starts off.
- You are signed in on that phone. Signing out stops its push.
- The activity is someone else's. Your own actions never notify you, apart from the two kinds about your own agent.
Does the app work without a connection?
It shows what it last loaded, so workspaces and grids you have opened before still appear. A thing whose content it never loaded says so and fills in the next time you open it with a connection.
Does Plus bought on my phone work on the web?
Yes. Plus counts everywhere, whichever way you bought it. A subscription from the App Store or Google Play is changed or canceled in your device's subscription settings. See Plans & limits.
Can I share into Everythings from an iPhone?
Share to Everythings is on Android. On an iPhone or iPad, copy what you want to keep, create a thing in the app and paste it in.
Does the app run on tablets?
Yes, on iPad and Android tablets. The grid widens to fit the screen, the switcher shows the workspace's name, and a keyboard brings the shortcuts above.
