Workspaces
A workspace holds a tree of things: notes, lists, plans, files, whatever you keep. Make one for each part of your life or each project, give it its own look, marks and instructions for agents, and share it with the people who work in it.
Create a workspace
New workspaces start from the workspace switcher at the top left of every workspace page.
- Click the workspace name at the top left. The switcher slides in from the left edge of the screen, listing every workspace you own or belong to.
- Choose Add Workspace at the bottom of the list. The Create Workspace form opens.
- Type a Name (at least 2 characters). Press the emoji button beside it to pick an emoji: it is the workspace's logo until you upload a logo image.
- Under Start from, pick Welcome, Blank or Agent workflow (see the next section).
- Optionally set a logo, wallpaper and accent color on the same tab, and look over the Agent Instructions and Default marks tabs.
- Click Create. The new workspace opens.
Your first workspace
When you sign up and have no workspace and no pending invitation, Everythings makes one for you called Personal and fills it with the Welcome tour: a few things to read that show how the app works, ready for you to edit or delete.
The creation form preselects Welcome on the first workspace you create yourself and Blank after that. Your pick always wins.
Templates
A template decides what a new workspace starts with: its things, its instructions for agents and its default marks.
๐ Welcome
A short tour of Everythings to read and then make your own. It uses the app's built-in default marks and starts with no instructions for agents.
โฌ Blank
Nothing in it. Start from scratch with the app's default marks and no instructions for agents.
๐ค Agent workflow
The structure for working with an AI agent: a ๐ How to use guide, Agent tasks, Human tasks, Plans, Unsorted, and an Archive for finished work and logs. It comes with instructions that tell agents how to use that structure and a set of review marks such as โ done, โ fix and ๐ later. The Agent workflow explains the loop.
Edit a template's settings before you create
When you pick a template, the Agent Instructions and Default marks tabs of the form show what it carries. Change them there and the new workspace gets your version. Leave them alone and it gets the template's.
Make it look like yours
Each workspace has its own logo, wallpaper and accent color, set separately for light and dark mode on the General and look tab.
- Logo: upload an image. Without one, the workspace's emoji takes its place above the grid.
- Wallpaper: choose None, one of the preset images, or Upload your own picture. It fills the background behind the grid and the open thing.
- Accent color: pick a color or type a hex code such as
#15803d. Clear removes it. The accent tints buttons, badges and highlights in this workspace.
Switch between the Light and Dark tabs to set each mode. Switching also changes the app's own theme, so you see the wallpaper and colors as they will look. The browser tab shows the workspace's emoji and name, and its logo as the icon.
Workspace settings
Open the switcher and press the gear beside the current workspace (Workspace settings). The settings open on five tabs.
| Tab | What it holds | Where |
|---|---|---|
| General and look | Name, emoji, logo, wallpaper and accent color for light and dark mode. On an existing workspace it also holds Default workspace and, for the owner, Delete workspace. | Create and settings |
| Agent Instructions | What agents should know before they write in this workspace. | Create and settings |
| Default marks | The one-tap marks offered on every thing, and (in settings) whose marks members see. | Create and settings |
| Members | Everyone's role; for admins, invite people with a role, change roles, resend or cancel invitations and remove members; for the owner, hand over ownership; leave. | Settings only |
| Notifications | What reaches you from this workspace. Each person sets their own. | Settings only |
Saving
The first three tabs share one Save button. A line above it says Unsaved changes until you save, and Cancel puts every field back. Saving closes the settings and returns you to the workspace. If you try to leave with unsaved changes, the app asks first.
Members, Notifications and the Default workspace checkbox save each change at once.
Default workspace
Tick Default workspace at the foot of the General and look tab and Everythings opens this workspace when you sign in. Untick it to stop.
Members and Notifications
Sharing a workspace covers inviting people and managing members. Notifications explains each switch on the Notifications tab.
Agent Instructions
Instructions for agents are notes the owner or an admin writes for any AI agent that works in the workspace. Agents read them before they write there.
The form suggests what to cover: where tasks go, what each mark means, how to ask a question. Write in plain words or Markdown, up to 8,000 characters. A counter appears as you near the limit.
- Only the owner and admins can change them. Everyone else sees them read-only.
- Every template can carry instructions. Agent workflow comes with some; Welcome and Blank start empty.
- Leaving the box empty means agents get no extra instructions for this workspace.
Pair the instructions with the workspace's default marks, for example โmark a finished task โ doneโ. See The Agent workflow and Connect an agent.
Marks in a workspace
Every workspace has its own list of default marks and its own rule for whose marks people see.
Default marks
The Default marks tab lists up to 8 marks offered as one-tap marks beside the โญ on every thing, in the order shown. Add, rename, reorder or remove them, change an emoji, or go back to the app's list with Use app defaults. Marks covers them in full.
Whose marks members see
Under Marks on the same tab, the owner or an admin chooses Everyone's marks (the default) or Only own marks. With the second, each person sees only the marks they left themselves, on the thing and on its tile. The choice changes what the apps show; agents still read everyone's marks.
Switch between workspaces
The switcher lists every workspace you own or belong to, with the current one highlighted.
- Click a workspace to open it, or reach it with
Taband pressEnter. It opens on the thing you last had open there in this browser tab, or on its grid. - Drag a workspace up or down to reorder the list. The order is saved for you and used everywhere you switch.
- Press
CtrlAltโorโ(ControlOptionon a Mac) to step to the previous or next workspace in that order. From the last one it wraps around to the first. - On a phone browser, swipe sideways on the grid to page through your workspaces.
In the phone app the switcher also shows Trash while the workspace's Trash holds something.
The workspace grid
A workspace opens on a grid of its top-level things, with the logo and the search field above it.
- Tiles: each top-level thing as its icon and name, with its marks over the icon and a count badge when it holds sub-things. Things explains the badges.
- โญ Faves: a tile after your things that collects the ones you starred in this workspace. It shows once you have at least one.
- ๐ฅ Inbox: appears beside Faves while an agent is waiting for your answer to a question, with the number waiting. See Questions, inbox & @Agent.
- โ under the grid adds a thing. In an empty workspace a hint points to it.
- Trash bar: while Trash holds anything, a bar at the bottom shows how many items are in it, with Restore all and Empty.
The search field searches every workspace you can open. See Find things.
Delete a workspace
Only the owner can delete a workspace.
- Open the workspace settings from the gear in the switcher.
- At the foot of General and look, click Delete workspace.
- Read the warning and click Delete Workspace.
Deleting a workspace can't be undone. Every thing in it, with its comments and marks, is removed for good, for every member. To step out of someone else's workspace instead, use Leave workspace on the Members tab.
Questions
How many workspaces can I have?
On Free you can own 3 workspaces; on Plus, 100. Workspaces other people share with you don't count toward your number. See Plans & limits for every limit.
Can I change the template after creating a workspace?
The template only decides what a new workspace starts with. Once it exists, everything in it is yours to change: add, move or delete things, edit the instructions for agents and the default marks in its settings. To start over from another template, create a new workspace.
Who can change a workspace's settings?
Everyone in the workspace can open its settings. The owner and admins change the name, the look, the default marks, the Agent Instructions and whose marks members see, and invite and remove people; editors and viewers see those settings read-only. Everyone sets their own default workspace and notifications. Only the owner can delete the workspace. See Sharing a workspace for the roles.
Why does my workspace look different in dark mode?
The logo, wallpaper and accent color are set separately for light and dark mode. Open the workspace settings, switch to the Dark tab on General and look, and set them there too.
Can I get a deleted workspace back?
No. Deleting a workspace removes it and everything in it for good. To keep a single thing, copy it somewhere else first with Duplicate, or save it with Download .md from its โฎ menu.
What opens when I sign in?
Your default workspace, if you set one with the Default workspace checkbox in a workspace's settings.
